FSO v1.0

Live Visibility, ETA & Notifications

Last updated: August 13, 202510 min read

Purpose

Provide a single, accurate, real-time view of trips and per-stop ETAs, with proactive alerts and reason-coded risk flags.

This module eliminates check-calls, reduces customer inquiries, and enables proactive exception management through continuous visibility and intelligent alerting.

Minimum capabilities

MUSTPing freshness

While moving, P90 ≤5 min (SHOULD) and absolute MUST ≤10 min. When stationary, grace P90 ≤30 min.

MUSTEvent→update latency

ETA recompute median ≤2 min, P90 ≤5 min from new ping/event.

MUSTOn-approach alerts

Coverage ≥90% of stops (≥15 min pre-arrival), opt-out honored and quiet hours enforced.

MUSTException lead time

Reason-coded risks (traffic/HOS/dwell/weather) flagged ≥30 min before breach.

MUSTGeofence management

Hysteresis/debounce to reduce false events; track false positives/negatives.

SHOULDMulti-source fusion

Facility calendars/appointments; ELD + app + portal data fusion; weather/traffic enrichment; contact preferences; ETA bias monitoring.

MAYPredictive analytics

Predictive dwell and facility scorecards; automatic bias correction.

Inputs

  • Telematics data: ELD pings, driver events, GPS coordinates, status updates
  • Facility data: Geofences, appointments, operating hours, contact information
  • External data: Traffic conditions, weather forecasts, route constraints
  • Trip plans: Rate confirmations, pickup/delivery schedules, special instructions
  • Contact matrix: Notification preferences, quiet hours, escalation rules

Outputs & KPIs

Primary outputs

  • Live trip dashboard: Real-time load status, ETAs, and driver locations
  • Proactive alerts: On-approach notifications, exception warnings, delay alerts
  • Exception reports: Risk flags, breach predictions, escalation triggers
  • Coverage analytics: Tracking quality, alert effectiveness, bias analysis

Key Performance Indicators

KPIDefinitionTargetMeasurement
ETA accuracy% arrivals within ±10 min of ETA≥ 85%Actual vs predicted arrival
On-approach coverage% stops with pre-arrival alerts≥ 90%Alert delivery logs
Check-call reduction% reduction vs baseline period≥ 80%Call volume analysis
Update latencyEvent to ETA refresh time≤ 2 min (median)System timestamps
Tracking coverage% time with valid location data≥ 95%Ping frequency analysis

Interoperability

This module SHOULD integrate with:

  • ELD/telematics: Real-time location, HOS status, vehicle diagnostics
  • Driver applications: Status updates, arrival confirmations, exception reporting
  • Broker portals: Load tracking, milestone updates, exception notifications
  • Facility systems: Appointment scheduling, dock availability, operating hours
  • Messaging platforms: SMS, email, webhooks for alert delivery
  • Traffic/routing APIs: Real-time conditions, route optimization, incident data

What's new vs legacy

Traditional visibility relies on manual check-calls, phone tag, and stale information. FSO visibility provides continuous, automated tracking with proactive exception management. Key differences: real-time ETAs replace outdated estimates, proactive alerts eliminate reactive inquiries, and unified dashboards provide single-source visibility for all stakeholders.

Compliance notes

Evidence requirements:

  • Location tracking logs with timestamps (retain 12+ months)
  • ETA calculation history and accuracy metrics
  • Alert delivery confirmations and opt-out records
  • Exception prediction and resolution tracking
  • Quiet hours compliance and preference management

Privacy considerations: Respect driver tracking consent, implement location data protection, maintain least-privilege access, and follow jurisdiction-specific location privacy requirements.
